Terms and conditions of booking By making a booking you accept the following Terms and Conditions.
The Greener Camping Club In order to comply with countryside planning policy we operate as a Greener Camping Club members-only campsite. The Club was established by people with a passion for sustainable, eco-friendly camping holidays. When you book your holiday with us, you will be enrolled as a member of the Club. Membership costs just £12 for the calendar year and gives you access to some of the greenest campsites in the UK. It also includes participation in the Club’s ‘Trees for Life’ scheme, whereby a tree is planted for every member we enrol.
Payment We request a 40% conditional deposit when booking a camping pitch or bell tent. Receipt of the deposit secures your booking. Reservations will only be held for 48hrs from receipt of completed booking form or it will be assumed that you no longer require the booking and the dates will be released. Please note that the amount requested is the deposit 40% pitch deposit + £12 (non-refundable) for your Greener Camping Club membership. The remaining balance is required 42 days prior to your arrival date. If we do not receive your balance by this time, we will assume you have cancelled your holiday and release the dates – see below.
Transferring your booking Bookings are transferrable to another family only with our prior agreement in writing. If you are concerned about the prospect of cancellation, please take out holiday insurance. Please see further info below.
Corvid 19 -Cancellation Policy
What happens if you have to cancel your booking for any of the following reasons:
You or a member of your party have a positive Covid-19 test
You or a member of your party have to self-isolate due to contact with a Covid-19 sufferer
You or a member of your party develop Covid-19 symptoms and are awaiting test results
Your area is put into a localised lockdown – that means you will be breaking the law if you travel.
If any of the above apply we will do our best to offer you alternative dates for your holiday. If that is not possible then the ‘Cancellation by You’ clause will apply.
Cancellation by us. We reserve the right to cancel your holiday if we are put in to lockdown or if we or any of our staff are put in a position that makes keeping the site open unsafe. In this event you will be offered a postponement if you keep your payment with us or refund all monies less the £12 Greener Camping Club fee.
General Cancellation Policy
Cancellation by us We reserve the right to cancel a camping or bell tent holiday at short notice if we are unable to provide safe accommodation or camping environment, due to extreme weather conditions, ill health, fire, flooding or any other extenuating circumstances beyond our control. Under such circumstances, your full payment will be returned to you. Bryn y Cando Camping cannot accept liability or responsibility for any loss, including consequential loss, caused by cancellation. The Greener Camping Club membership fee is not refundable.
Cancellation by you If you cancel your camping or glamping holiday 6 weeks or more before your arrival date, we will refund your monies less a £40 admin fee. If you cancel your camping or glamping holiday 6 weeks or less before your arrival date and we are able to re-let your pitch/bell tent for the dates you have booked, we will refund your deposit and balance less a £40 admin fee. In the event that we are unable re-let your dates, no refund will be made. If you are worried about the prospect of cancelling, please take out holiday insurance. Bookings are not transferable without our prior agreement by email, in writing.
Your Safety
There are many opportunities for play and adventure – our aim is for children and adults to have a truly enriching experience of space, freedom and the wonders of the countryside. We permit campfires and allow you explore the holding. In allowing this there are risks to be aware of. Please take care and act responsibly. There is the main small river but also there are other water courses to consider as well as the pond. The pond is fenced and gated (2) please keep these closed. Enjoy a walk round it but no swimming is allowed – it is a conservation pond for amphibians and other animals to visit. There is little farm traffic but there are always risks around farms – these should be self evident and if in any doubt please ask. Note; do not climb or interfere with any farm equipment.
Bryn y Cadno accepts no responsibility for injury incurred on site. Parents are responsible for the supervision of their children on site at all times.
Loss of Property We do not accept any responsibility for lost or stolen property.
Recycling and Rubbish Being part of The Greener Camping Club and its ethos of sustainability and recycling means if you are camping here you separate glass, cans, plastic, paper, cardboard, food waste, etc placing them in the labelled bins provided What little is left, can be placed in the landfill bin. We recycle what we can on site, ie plain card and non glossy/highly coloured paper goes into our compost bin as does vegetable waste, aluminium drink cans we recycle separately.
Campfires/Wood/Logs Please do not light fires other than in the designated campfire places and do not enlarge or resite them.
Do not leave your campfire unattended and think carefully about whether or not to light a fire if it is windy.
By lighting it you accept full responsibility for it.
We do not allow foraging of wood for the campfires, it is part of the Bryn y Cadno ecosystem that we strive to maintain for the benefit of its wildlife and for future guests.
Badgers, Foxes, Otters and others There is a chance you may see these creatures around the area, please be aware that they are looking for food and may try to raid food stocks and recycling. To avoid loss and a mess to wake up to please put your food in suitable hard containers and your recycling in the bins provided regularly, and make sure your tents are properly closed at night!
Consideration for others Bryn y Cadno is a small select site for enjoyment of nature and the surroundings. We do not allow radios or other sound systems, and request people are quiet during the times of 10.30 pm and 7.30 am. Acoustic instruments are acceptable outside of the quiet times. Noisy visitors who persistently disturb other guests will be asked to politely leave without refund.
Smokers Tents and undercover facilities both on the pitch and any communal areas are STRICTLY NO SMOKING areas. If you smoke please do it outside and dispose of the ends on your camp fire or your black bag rubbish.
Cars We operate a 5 mph speed limit. We have a single lane trackway, please accept someone will need to give way and reverse. ForBell Tent guests cars can park next to the farmhouse as it is adjacent to the bridge and field. For 2022 there will be a designated car park midway between the camping fields – please park there as the camping fields are vehicle free except for maintenance. There are wheelbarrows for transporting your goods – please remember to return them so they are available for others.
Dogs We permit well behaved dogs, up to 2 per CAMPING pitch only.
Dogs are not allowed in the bell tents.
Your dog must be kept on a lead and supervised at all times for the benefit of other guests and our livestock.
Dogs should not be left unattended at any time.
We reserve the right to terminate your booking without refund in the event that your dog creates a nuisance to other guests, is off lead or unsupervised or is found worrying livestock.
Please ensure a valid vaccination certificate accompanies your dog.
Please ensure your dog has suitable and secure accommodation within your booked unit or vehicle. Do not leave your dog shut in a hot car.
You are required to clean up after your dog and dispose of the waste appropriately. A disposal bin is available on site.
Bell Tents Bookings Please use the gas cooker in accordance with the instructions and never leave anything alight if you are not present, they are only to be used in the cooking area. The kitchen saucepans and kettle are not for use on the campfire.
No naked flames are permitted inside the bell tent.
Should any damage or breakages occur, other than acceptable wear and tear, a charge will be made to cover repairs or replacement. We reserve the right to charge for excessive cleaning where a bell tent and or kitchen area has been left in an unacceptable condition, through waste, litter or interference in the structure, movement of contents, this includes crayons or paints and unreasonable use of furniture and fabrics etc. Guests will be held responsible for any fire, smoke or general damage, or alteration to the structure caused by negligence.
